 We are currently looking for a skilled Operations Coordinator to undertake a variety of day-to-day office and clerical tasks. You will be an integral part in ensuring that our office operations run smoothly and are successful in supporting other business activities. An excellent operations coordinator is, above all, an organized and competent professional with phenomenal communication skills. You will be comfortable dealing with people and able to carry out administrative duties with accuracy and speed.  

The goal is to ensure that office operations are efficient and add maximum value to the organization. 

To be a good fit for the Operations Coordinator position, you will have:


  • Bachelor’s degree in Business Administration or similar

  • 2-3 years’ experience in a similar role

  • Proficient with Microsoft Office (especially Excel and Word)


  • Proven ability to work collaboratively with others

The Role:

We are seeking an energetic and skilled operations coordinator (operations administrative assistant) for our rapidly growing company. In this role, you will oversee the general operations of our janitorial services and ensure that logistical needs are met. You will coordinate with vendors, clients and our operations team, handle inventory, supply orders and create reports. You will be an essential part of the smooth daily operation of the business.

**You will work out of our Downtown Chicago office, near the South Loop, with many modes of transportation available!

More specifically, you will help in the following areas:

  • Logs all information, processes, and maintain up to date records for facility operations in TEAM Software, and other systems in use.

  • Run daily, weekly, monthly reports related to field operations.

  • Data entry.

  • Create work tickets. Maintain records of work performed, supplies used (if any) and prepare work ticket for billing.

  • Client communication: contact clients regarding scheduling any janitorial project work and follow up with management to ensure work was completed successfully; log all client concerns/issues, requests, etc, and follow up day after to ensure completion/correction of request/concern.

  • Supply Distribution: Coordinate our paper good supply business (orders and deliveries). Also, monitor/track outgoing chemicals and cleaning supplies.

  • Collect paper goods data and submit order forms for client approval with the various client’s, etc.

  • Purchasing/Supply Inventory: Maintaining spreadsheet of complete inventory and replenishment dates. Restocking supplies in shelves. Preparing supply order for management team.

  • Paper/Chemicals/Equipment from our preferred vendors. Place orders on-line to replenish chemical, equipment and paper supplies.

  • Data Tracking/Charts: Create daily, weekly and monthly reports of operations (building budgets, staff’s timekeeping hours, overtime etc).

  • Admin/Clerical duties (such as filing, uploading, answer phones, etc)
