Summary
The Operations Administrator is responsible for overseeing and coordinating various operational activities within an organization, managing day-to-day tasks, collaborating with different departments to ensure smooth processes, and implementing efficient workflows, often including scheduling meetings, data management, and maintaining internal databases to support the overall operations of a company.
Key responsibilities may include Administrative tasks:
• Scheduling meetings and appointments
• Managing calendars and coordinating events
• Maintaining filing systems and data entry
• Managing incoming and outgoing mail
Operational support:
• Monitoring and managing operational workflows
• Identifying and resolving operational issues
• Collect, organize, and maintain operational data related to employee performance, client accounts, inventory, and other key metrics.
• Collaborating with different departments to streamline processes
• Implementing operational improvements and efficiency measures
• Tracking key performance indicators (KPIs) related to operations
Communication and reporting:
• Communicating operational updates to Executive team
• Preparing operational reports and dashboards
• Managing internal communication channels
Required skills:
• Strong organizational skills: Ability to prioritize tasks, manage multiple projects, and meet deadlines.
• Attention to detail: Ensuring accuracy in data entry and administrative tasks.
• Communication skills: Effective written and verbal communication to collaborate with various teams.
• Technical proficiency: Familiarity with office software like Microsoft Office Suite, project management tools, and relevant internal systems.
• Problem-solving abilities: Identifying and resolving operational issues efficiently
Qualifications:
• Education: Associates or Bachelors degree in Business Administration, Operations Management, or related field preferred.
• Experience: 3+ years of administrative or operations support experience, preferably in a janitorial, facilities management, or similar industry.
